The Administrator is responsible for general office management. This position
reports to the Director of Corporate Finance, or another senior management personnel that the
President of the Company may designate. This position is located in Irvine, California and
working hours are Monday through Friday, from 9: 00am to 6: 00pm.
? Provide general administrative and clerical support including, but not limited to:
o Perform opening and closing duties (ie. Making coffee, stocking the kitchen, checking
phone messages, unloading dishwasher, cleaning coffee maker, etc.);
o Provide general support to visitors (ie. Meet and greet, offer beverage, direct them
to the designated conference room, contact team members to meet, parking
validation, etc.);
o Maintain company s internal contact list and seating chart;
o Set-up and manage the phone system;
o Answer and direct phone calls using a multi-line phone system;
o Stock the kitchen and refrigerator with utensils, supplies, and drinks three times a
o Order and maintain inventory of office supplies through Staples, Amazon, and
o Work with building management to issue access cards and parking transponders, and
submit support tickets for maintenance, as necessary;
o Open, sort, and distribute incoming correspondence; place outgoing checks in
envelopes; send outgoing mailing (via FedEx, USPS, DHL, etc.) on-site and at postal
o Schedule and coordinate meetings and appointments;
o Submit and reconcile expense reports for senior management;
o Perform data entry, scan/copy documents, filing paperwork;
o Ensure the office is clean and tidy at all times;
o General finance duties as assigned by Management on an as needed basis, including:
? Submit Purchase Requisition for fix assets and office orders
? Scan checks to be deposited;
o Assist with general IT duties, including:
? Acting as a liaison between our company and our third-party IT company
? Setting up new hire s laptops with applicable systems and softwares
? Assisting with any other IT-related issues
o Perform other duties as assigned by Management on an as needed basis;
o Perform other duties and special projects, as assigned by the Accounting Manager.
? Bachelor s Degree (BA or BS) preferred
? Minimum of 3 years of administrative experience in a professional office environment
? Proficient in Outlook, Microsoft Word, and Excel
? Must be able to thrive in a fast-paced environment
? Great verbal and written communication skills
? Good interpersonal skills; a team player
? A quick learner with great attention to detail
? Have a good sense of confidentiality
? Deadline-oriented with an ability to prioritize tasks
? Light lifting of equipment is required (up to 20 lbs.)
? Strong, self-motivated team player
? Strong Microsoft Office Skills
